Production Coordinator

The Production Coordinator implements the schedule of production shots for an assigned show. The Coordinator will partner with the members of both the production and creative teams to take ownership of the production schedule and budget of assigned shots from launch to completion. Coordinators play an integral part of show communication and ensure that all necessary stakeholders have necessary production guidance and are clear on priorities and tasks. In a sense, they are the conduit of information between all key stakeholders in show execution.

The Production Coordinator reports to their assigned production leader for all production related tasks or department administration responsibilities. All Production staff inherently report up to the VP of Production.

Maintains a full working knowledge of all related Legend3D tools and assets

Accountable to create and distribute all necessary notifications and reports for all relevant creative and Production teams daily.

Maintains a daily ritual of multiple “Scrubs” a day to ensure shot accountability and information integrity for assigned shows.

Maintains the integrity of the L3D Tactic database at all times.

Tracks and reports status for all current production shots with special attention to priority shots

Partners with all appropriate production and creative teams to implement the production schedule, ensuring all stakeholders are aware of priorities and scheduling needs.

Flags problems and issues that may impact schedules to appropriate show Production staff

Is keenly aware of tasks/shots that are under their care to easily identify problem tasks and potential bottlenecks.

Understands internal creative skillsets to support in facilitating creative assignments

Collaborates with other members of the production team to implement the protocols and workflows of all shows.

Collaborates with other team members to resolve problems and issues in workflow or otherwise, that may arise

Responds to general queries and escalates for further clarification as needed

Communicates important task and show updates to show creative/production staff as needed.

Approves timesheets for assigned teams and ensures accuracy.

Support creative staff to ensure creative reviews are scheduled and implemented accordingly

Ownership of creative reviews when needed.

Assists in cancelling unnecessary work, and ensures all stakeholders are clear about expectations for cancelled shots.

Ensures source updates, frame range extensions and other updates are communicated to appropriate stakeholders as needed for all shows.

Ensures all shot notes and information are communicated regularly.

Supports team members by absorbing excess tasks/duties as required, under the guidance of their production leader

Provides ongoing training to Production Assistants to support internal growth and development

Participates in workflow developments with recommendations for efficiencies and other gains

Other duties as assigned

Desired Skills & Experience:
2+ years professional experience in a production environment is preferred.

Bachelor’s degree or Diploma in Film and Television production or related field is an asset.

Project management experience in a team-based environment

Efficient application of time management skills in scheduling and monitoring tasks (shot/ asset tracking experience in a production pipeline an asset)

Ability to adapt to changing priorities and understand its impact on department schedules

Exceptional communication skills, both written and verbal.

Highly organized with strong attention to detail; ability to establish new work processes and methods with a creative approach to problem solving.

Fluent in Microsoft Outlook and Excel; Advanced excel knowledge an asset

Ability to learn new software quickly; prior experience using Shotgun or a similar project software is an asset.

Working Conditions:
Must be able to remain seated in a stationary position for the majority of a shift (up to 90%).

Must be able to use hands/fingers to operate a computer and other office machinery.

Will be working in a low-lit environment and may be subject to eye strain.
